Before the Last Day: Leave a Route to Your Records

Employment can end before every document is issued. Know what you may keep and how to obtain what comes later.

In this article

Leaving a University job creates two kinds of work: ending the employment relationship correctly and making sure later records can still be obtained through the proper channels. The second task is easy to overlook when equipment returns, handoffs, and a new role occupy most of the attention.

The University's Policy 5-109: Staff Separations policy addresses non-disciplinary separations for its stated population of benefits-eligible staff who have completed probation. It also assigns departments responsibilities involving property and access. The scope matters. This article is a records-preparation guide, not advice to resign, a resignation template, or a determination of final pay and benefits.

Start with the confirmed employment action

A planned final workday, a resignation notice, an accepted resignation, and the effective separation date may not be the same record. Ask HR or the department to clarify the date and action being processed. Keep the written confirmation that applies to your situation.

Do not rely on an informal calendar invitation as the only evidence of a departure date. A farewell event can be scheduled before or after the actual employment action. Similarly, a manager's verbal understanding may need to be reflected in the University's official process.

If there is a disagreement, a disciplinary matter, or a legally consequential issue, seek the appropriate official or qualified advice promptly. This publication does not interpret withdrawal rights, notice obligations, or dispute procedures for an individual. A checklist should not delay action on a time-sensitive concern.

Separate personal records from University work product

Employees may reasonably want access to their own pay statements and tax documents. That does not create permission to export all files they can currently reach. Research data, student records, patient information, personnel files, confidential business material, and shared departmental documents can have restrictions unrelated to the employee's departure.

Ask what personal employment documents you may retain and how to obtain them through approved channels. Keep only what you are authorized to keep, in a secure destination appropriate to the information. Do not use a broad mailbox export or shared-drive download as a substitute for a specific records request.

The distinction protects both the employee and other people whose information may appear in work systems. A personal archive should not become an accidental copy of the University's operational records. If a document contains mixed information, ask the responsible office how to handle it.

Ask about later access before it becomes urgent

A working account today does not prove that the same access will remain available after separation. Conversely, the end of ordinary work access does not necessarily mean there is no official way to obtain a later tax document. These are separate questions that should be answered by the relevant University offices.

Ask how former employees obtain pay and tax records, which contact information should remain current, and what to do if the normal portal route is unavailable. This publication does not promise a retention period for CIS access or provide a workaround around an access restriction.

Keep verified public contact pages in your own notes rather than relying exclusively on an internal address book you may later lose. The University's Find Your HR Contact page can help identify the appropriate HR route. A current official contact is more reliable than an old personal name copied from a colleague's departure email.

Final earnings and leave balances need official explanations

A last ordinary statement may not answer every question about the end of employment. If additional earnings, leave treatment, reimbursements, or adjustments are expected, ask which record will show them and what process applies. Do not assume that a familiar net amount proves the entire departure calculation is complete.

A displayed leave balance is not a self-executing cash entitlement. The Policy 5-301: Vacation Leave policy points to different implementing rules for different employee populations. Ask HR which rule applies to your event and how any official calculation will be communicated.

Avoid using a personal multiplication of hours and rate as a promised final amount. That calculation may be a useful question, but it cannot establish eligibility, limits, timing, or the correct rate. Keep the factual record and the unresolved question separate until the responsible office provides an explanation.

Benefits continuation is a separate decision process

A separation can affect benefits, but the exact treatment depends on the plan and circumstances. Ask the appropriate benefits office for the official coverage-ending information, any continuation options, applicable deadlines, and the approved route for elections or questions.

This article does not supply a universal end-of-month rule, continuation price, or election period. It also does not recommend a medical plan or retirement transaction. Those decisions can have substantial personal consequences and require current plan information and, when appropriate, qualified advice.

Keep the notice that establishes the dates and choices. Do not infer continued coverage from a deduction on a final statement, or infer the absence of coverage from a delayed payroll adjustment. An administrative payment line and a plan's coverage decision are related only through the official explanation.

Verify contact information through the right service

A mailing address or contact change may affect later correspondence, but updating one record may not update every service. Ask which official records should be reviewed for payroll, tax, and benefits communication. Do not publish the new address in an ordinary support forum or send it to this magazine.

The Paycheck Information page explains that payroll checks are mailed to the home address on file when direct deposit is not established. That is a reason to verify the relevant address when it applies, not a promise about how every departure payment will be issued.

If a record uses a legal name while another uses a chosen name, do not assume one is wrong solely because they differ. The University's Chosen Name: Employment Services guidance distinguishes display-name use from payroll and tax documents. Ask the appropriate office which record needs correction and what approved evidence is required.

Keep the handoff small and explicit

A useful departure checklist has owners. Equipment return belongs to one process, final time entry to another, benefits questions to another, and later tax-record access to another. A single “offboarding complete” message may not establish that every personal question has been answered.

For each unresolved item, record the responsible office, the next action, and the evidence that would show completion. Avoid creating a long archive of speculative problems. Focus on the actual records and decisions that matter to your departure.

If the University asks for sensitive documents, follow its verified instructions. This publication accepts no employee files and cannot intervene in an employment case. Its contact address is only for editorial corrections and website matters.

Leave with a route to the next answer

The strongest outcome is not a perfect private collection of every possible document. It is a clear understanding of which records you may keep, how to obtain later records, and whom to contact if an expected result does not appear.

Employment can end before every annual document is issued. A careful departure record therefore preserves the next route without preserving access that is no longer authorized. Confirm the employment action, reconcile the immediate records, understand the benefits notices, and keep the official contact path for what comes later.
